We all have rights under the General Protection of Data Regulations (GPDR) about how our information is collected, kept, processed and distributed, and general guidance can be found at the Information Commissioner’s website:  https://ico.org.uk/for-the-public/

This bespoke policy lays out how sortfully applies the legislation to make sure you can maintain your privacy.  If you have any questions about this policy, or how I am handling your information, please do not hesitate to contact me. 

Sarah Davies, trading as sortfully, is the data controller, and is responsible for your personal data.  The contact details are as listed elsewhere at sortfully.co.uk.  Please let sortfully know if your information changes, or if your preferences for holding that data change.

What data does sortfully collect?

  • Customer data:  Name and contact information that you give me (including, but not limited to, your email address, phone number, home address, photographs of your space, testimonials or reviews, dates and times of appointments and other calendar invite information).  I’ll use this data to communicate with you, keep records, and supply sortfully services.  This means I can keep my business running.

  • Technical and user data:  how you use the website and other online services, such as your IP address, login data, details about your browser, how and when you access the website.  This is collected by analytics tracking systems and is used to analyse the use of the website to make sure the website is properly administered, but also to see how you are all interacting with the website and how I might be able to grow the business.

  • Sensitive data:  To make sure I understand you and your situation, I may collect some sensitive data, such as your race, beliefs, orientations and health, as well as information about those you share you space with (e.g. children and pet names).  I will only use such data to tailor my services to you, and will not share this information with anyone else without your express permission. 

What I won’t collect:

  •  Information about your method of payment (i.e. card details etc.).  I use a secure 3rd party payment application so that all those details are kept private.

  • Any information about persons under the age of 18.

Where does this information come from?

  •  Personal information gets passed to sortfully through online contact forms, emails, phone calls, in person conversations, texts, social media messaging, digital photography and even old-fashioned physical pieces of paper!

  • Some of the technical data will get collected by analytics providers such as Google, or third party social media platforms, or indeed by those ever-present cookies. 

 What does sortfully do with your information?

  • Mostly, I’ll use the data I collected to keep in touch, find the location of our appointments, maintain my own income/cost records, calculate mileage costs, tailor my services to you and process bills and payments.

  • With your permission, I may use photographs and/or testimonials or reviews as part of my communications strategy (so, on my website or other physical or digital promotional material).

  • Occasionally I may send you information about existing and potential services, but you can always unsubscribe.

  • Very unusually, I may have to pass your data to outside authorities such as laywers, auditors or government bodies.  If I am legally obliged to do so, I will inform you. 

Where does sortfully keep your information?

  •  I will do everything I reasonably can to protect your data – to prevent it being accidentally lost, used, altered, shared or accessed. 

  • I will store information digitally, so far as possible, using secure, encrypted, online file services.  My access to your information is password protected. 

  • I will keep some physical records in secure storage on my own premises, but only for a limited period of time (e.g. printing out an invoice to give to you in person).

How long will sortfully keep your information?

  •  I’ll only keep your data for as long as needed to complete the purpose it was collected for (i.e. for as long as we work together!). 

  • However, I’ll have to keep some basic information about customers (e.g. about the transactions between us) for up to six years after the event for tax purposes.

Data collected by others

  • Please be aware that when using social media and other third party applications, those organisations will be collecting data about you in accordance with their privacy policies.  Make sure your preferences are up to date on every platform you use. 

  • So remember that any posts / comments you make on social media platforms, even though they might only have been intended for sortfully, will be collected and held by those platforms.
